Terms and conditions

Thank you for considering Ivy Cottage for your mini break or holiday. These terms and conditions apply to all guests. If you have any queries about any of the terms and conditions of your booking please get in touch.


There is a 3 night minimum stay for bookings.


Arrival


The cottage will be available for you from 3pm on the day of arrival, unless otherwise arranged. We ask all guests to contact us within 30 minutes of their expected arrival so we can arrange to meet at the cottage, hand over the keys and go through relevant information.

Departure


Please ensure you vacate the cottage by 10am on your day of departure in order for us to clean and prepare the cottage for our next guests.

Cottage Rules


We do not allow any parties or events to take place at the cottage.

We operate a non-smoking policy, this includes vaping.

We do not accept pets at the cottage, no matter how small and cute!

The minimum age requirement for booking the cottage is 21.

As a courtesy to neighbours, please keep noise down after 10pm.

No outside footwear in the cottage.

We have a septic tank so please ensure only toilet roll is flushed.

Booking


Bookings will only be accepted upon receipt of a non-refundable deposit of 25% of the total holiday cost. The balance is payable in full 4 weeks before the start of your holiday, failure to do so will result in the cancellation of your booking. Any bookings made less than 4 weeks ahead must be paid for in full at the time of booking. Deposits are non-refundable.


The proprietors reserve the right to refuse any booking or to cancel any bookings already made subject to refunding any sums you have paid without any further liability on our behalf.


The cottage is furnished for a maximum of 6 adults, with the addition of a toddler/baby. There must be no more members in your party than the cottage is designed to accommodate and only those listed on the booking form may occupy the cottage.


The proprietors reserve the right to enter the property during your stay. We have the right of entry to the property for the purposes of inspection or to carry out necessary repairs or maintenance. We reserve the right to repossess the property if damage has been caused. These circumstances will be treated as a cancellation by you. Failure to comply with any of these terms will be treated as a cancellation by you. In this situation you may be asked to vacate our property and no refund will be given for any remainder of your booking.


We have a travel cot and high chair available for use during your stay if required. Although, please do so safely and at your own risk.


Wifi is offered free of charge through a 4g hub. The owners are not responsible for any technical difficulties that may arise resulting in the disruption of the service.


Cancellation and Insurance


Bookings are provisional, unless confirmed. By making your booking and us accepting it, our agreement becomes a legal contract and you are agreeing to these terms and conditions.

If you cancel up to and until 14 days of your arrival date you will receive a full refund. If you cancel within 14 days of your arrival you will only receive a refund of 50% of your booking amount.

(Unless due to government enforced restrictions - see below)


We strongly advise that you take out Holiday Cancellation Insurance with the cancellation cover appropriate for your own requirements.


*Covid-19

If we are forced to close by the Government or you cannot travel due to local government enforced lockdowns, you will be offered the opportunity to re-book for another time or receive a full refund.


Non-availability of Accommodation


In the very unlikely event that we have to cancel your holiday due to reasons beyond our control we would issue a full refund, and our liability would not extend beyond this point.


Damages and Breakages


Please take care when staying in our cottage. We respectfully remind you that you are responsible for any breakages or damages that you cause during your stay. We would appreciate any breakages notified to us as soon as possible for us to rectify them before our next guests arrive. We do not normally charge for minor breakages but may send you an invoice for repair of significant or deliberate damage to the property, or it's contents. Upon making your booking you are agreeing to pay any such invoice arising from damage to the property and or contents.


Liability


We do not accept any liability for any loss, damage, death, sickness or injury howsoever caused which may be sustained during the holiday to the guest or any member of the party, or invited person, or any vehicle and its contents, or any possession of the guest or any member of the party as defined above.
Parents/Guardians must take full responsibility for their children during their stay at the cottage.


Electric Cars

We do not have an electric charging facility at the cottage for guests with electric cars. For guests charging cars during their stay, you will need to bring your own extension cable and, there will be a £10 per day extra charge payable prior to departure.

Hot tub


To ensure optimum cleanliness & hygiene of the hot tub, it will be completely emptied and re-filled with water and chemicals on or before your arrival day. Therefore, the hot tub may not be up to temperature until the morning after your arrival. The hot tub is monitored and tested daily. If the hot tub has to be closed for servicing, maintenance or break-down, a notice will be attached. Refunds are not payable if the hot tub is not accessible for any period during your stay.


The hot tub is for the exclusive use of guests staying in the cottage.

Use of the hot tubs and swimming pools are entirely at own risk.

We do not accept any responsibility for any illness, injury, reaction or condition resulting from the use of the hot tub.

All guests are responsible for your own safety when using the hot tub. Children under 14 must be accompanied by an adult at all times and parents/guardians must accept full responsibility for their safety.

Children under the age of four should not be permitted in the hot tub as the water is too hot for their safety.

If you have any pre/existing medical condition or any concerns you must consult a GP before use.

Before using the hot tub, guests are advised to:

Use the toilet and shower before entering the hot tub.

Not wear sun tan lotions, spray tans or skin creams in the hot tub.

Keep long hair tied up and remove jewellery.

Not use the hot tub after a heavy meal or under the influence of alcohol or sedatives.

Keep their head above the water in the hot tub.

Not exceed 15 minutes’ immersion in the hot tub at a time.

Not exceed the maximum number of bathers (one per seat).

Seek medical advice before entering the hot tub if they’re pregnant, have health problems, or are immunosuppressed.

Supervise all children in and around the spa and not allow children under four years of age, or those unable to keep their head above the water level when sitting, in the spa.

Only used plastic glasses which are provided when in hot tub.

Guests are advised to ensure the cover is always replaced to conserve heated water and to avoid danger from children entering the hot tub area unattended.

Please keep the door to the hot tub area closed when not in use for safety reasons.

Do not turn off the hot tub unless, in case of emergency.

The hot tubs/swimming pools are treated with chemicals, therefore if you are allergic or sensitive to chlorine or any sanitizing product you should not use the hot tub. You must shower before and after every use, any call outs for blocked filters/cloudy water as a result of users not adhering to this rule will be chargeable to you.

Any damage should also be reported immediately and use of the equipment stopped immediately until it is inspected by a professional. Any damage caused by Guests will be chargeable.


The hot tub is not part of the cottage rental. It is a complementary feature. In the very rare/unusual event that we could not provide the tub due to a power outage or Force Majeure reason, any force beyond our reasonable control, there is no rental compensation.

If you are not prepared to agree to the terms and conditions and follow the rules surrounding the hot tub, please do not use.

Final note

Please leave the cottage in the same state and condition as when you arrived. We reserve the right to make an additional charge for failure to comply with the terms and conditions of booking, including but not limited to removal and theft of items, failure to leave the cottage in the same state and condition as found at arrival. Bookings are accepted on the condition that all reasonable care is taken of the cottage and contents, and hot tub, garden area..

All descriptions, advertisements and representations are made in good faith, but the owners reserve the right to make changes or alterations to the property as they deem necessary.

We reserve the right to amend our terms without prior notice.


General Data Protection Regulation GDPR


By contacting us via our own website (or third parties who list Ivy Cottage as bookable holiday accommodation), you are giving us your consent to be contacted by us in connection with your enquiry or booking.


We agree to securely hold and use your given contact information ONLY in relation to your enquiry or booking.
